HR Management Software – Building Robust Management Solutions For The Future

HR Management software refers to the complete application that helps and enable HR managers store, manage and recover employee data in the organization. As the current environment is changing at a fast pace, an organization’s internal structure also varies in many different ways. Therefore a customized version of the HR management software can be developed in-house based on the individual organization’s needs and demands. It therefore becomes useful especially for those organizations which are having a large employee base and working from multiple locations. This will make sense and help them with all their data management.

The widely used main HR software or application form the part of this article:-

HRIS (Human Resource Information System): Helping Businesses In The Long Run

For any growing business there is a need to put some thought into getting an HR personnel software or HRIS to keep a track of their employee database. Thanks to the advancements in technology, this application or software makes things a lot easier than before.

hr management software

The HR personnel software can keep a record of the entire employee information right from his recruitment to his joining and the time he leaves the organization. The software also preserves employee’s personal details. As this information is readily available, they need not to go to the HR department to ask about their leaves and attendance. The software tracks it for them and lets them use it wisely. HR personnel software can also keep score of an employee’s pays and benefits. This feature also helps the HR department to retrieve any information pertaining to the employee at point in time.

An employee’s career progression or growth can also be taken care of by this software. As this application is directly linked to the organization structure, it enables the HR manager to determine open positions within the company. It can also help them to shortlist employees if they found suitable and qualified for the position. The application sends out mail or notice of the open vacancies to internal employees and also automatically posts it directly on the organization’s website. This could also work for those who are planning to resign or leave their current position. Potential successors will be selected for the position to make sure that everything is fair.

The HR personnel software also keeps and tracks employee performance for the annual appraisals. This allows them to know how they were performing in the past few months and what they need to do to improve on their performance. The software can also help in analyzing the productivity of the employee. This allows employees to access their records anytime so they can do something to improve on the same. This in turns boosts their productivity and self-confidence.

HR Software – Payroll Management System

Payroll plays an important role in defining any organization’s financial status as it goes beyond the employee’s salary or wages. Payroll also manages the financial statement pertaining to the taxes paid by the company for its employees and ensures compliances to federal or state controls. Payroll also looks after the organization’s revenue management and plays a vital role in employee salary processing and deduction computation. The payroll department must ensure that correct deductions are made, lest employees complain about their pay.

The complexities arising from payroll transactions are compounded by constant updates in government regulations and changes in taxes. The HR department is almost always barraged with complaints by employees on the wrongly calculated monthly salaries. These problems can be solved by using an automated HR Payroll Software thereby resulting in removal of the hassles involved in the overall payroll processing function.

HR payroll software is the employees’ database for their wages. It keeps employee files intact, safe and avoids unnecessary documentation. The software is accurate and the errors are minimized to a much larger extent. Some of the HR payroll applications are free and can be downloaded online. HR payroll software comes in different versions that can fit any organization’s needs and demands. Some versions have inbuilt tax computations while others can be integrated with the organization’s current database. Small business owners can largely benefit from the HR payroll software since they have limited staff to devote independent time in payroll alone.

The payroll module automates the entire salary processing by getting the attendance data of the employees, while considering the various deductions and taxes applicable to them. Once operational the application will create the pay slips of each employee which are given to them. A copy is kept with the concerned department for any future reference. So this application when linked internally also helps in managing the organization’s financials as well.

HR Software – Time Office Management System

Another remarkable piece of application or HR management software is the work time module or the Time Office Management System popularly known as TOMS. This HR software helps in keeping track of the working hours and daily attendance details of individuals. In the daily working hours, the software also helps in keeping track of details related to over and under time of work, leave details, absenteeism records and irregular punching. This software further extends its services to gauge the overall efficiency of any employee working in the organization.

An extension to this application is the HRIS module (already discussed above), which records all the information about the employee, right from his entry to the exit from the organization

HR Software – Recruitment Management Solutions

HR Manager plays a key role in selecting and choosing the right candidate for any organization. The worst case would be choosing the wrong candidate who does not fit the job requirements and eventually quit after training by wasting the company’s time and resources. Training is expensive and an increase in the number of resignations or AWOL means a reflection of poorly chosen candidates. The responsibility cannot be solely pointed towards the HR department since the hiring is often plentiful and complex. Needless to mention that there are hundreds of job applications floating in the marketplace even today.

The result: an overwhelming screening process for the HR department.

The best solution for an organization’s recruitment and hiring is the HR recruitment Software. This tool significantly makes the screening a lot simpler especially with bulk or campus hiring. Even from the start of recruitment, applicants that have potential can be tracked down until the final employment is achieved. The HR recruitment software is used as a database for all the applicants and application which are in progress. Mailing to report the applicants whether approved or rejected is an easy task through the HR recruitment software. The application can merge mails which have inbuilt templates for different kinds of letters. The software also aids in the decision making on whether to reject or hire a particular applicant. The HR recruitment software can also track how much time was spent on each applicant to analyze and deduce the cost incurred in the entire recruitment.

This HR software can be updated all the time depending on the status of the applicant or employee. The HR recruitment software is valuable software for any organization to reduce manual work in the hiring process.

    Hi,

That’s a great introductory article for people. It might be worth adding a section on performance management and elearning to round off the article.

Another area of HR software that’s going to get a lot of attention over the coming years is the impact of 3rd party software. For example, most professionals now publish their titles and length of service on Linkedin. It’s their information to post. But what happens when somebody starts to aggregate that data and make the results public. We’ll have some interesting scenarios arise. A company might not be too happy if the aggregation pointed out a high turnover rate for example. That’s information that previously was only available to internal HR. Now potentially it’s a matter of public record.

    Hi John,

Great piece of information and inputs form your end. I do agree with you that some of the info which was behind close doors some years ago is now open to public. Social media is providing professionals a platform where they can boast their talent and let the world know of their potential.

    Thanks

  3. Yes Amit that’s a good overview of the main groups of software but there are a few that I think you’ve missed.

For example other widely HR systems include managing time off (holidays) that staff take. However this is sometimes included within the time office management system.

Also if the workforce is distributed round the world and travels a lot personnel scheduling software is used. Companies can keep track who is where and for what reason.

Finally if the workforce mostly works part time some companies make use of shift scheduling software. It automatically allocates shifts to each employee.

  4. Amit Bhagria says:

Thanks for the inputs and sharing your views. I am currently using TOMS (Time Office Management System) which is a bundle of all those applications you are talking about.

The only thing it is missing on setting personnel scheduling software for employees who are travelling across the globe. A seperate HR Software apart from TOMS will required in such a scenario

  5. John Dennehy says:

    Amit,

Why would you need seperate software for scheduling employees that travel? Surely this is just could be setup as a non deductable leave type?
    John

  6. Amit Bhagria says:

Yes you are right but we have certain limitations in our current system

  7. HR departments now a days have their work cut out when trying to find the perfect software that fits their company. There’s so much out there; it’s alot of trial and error on software, which takes quite a while. But it’s oh so well worth it when things are super-automated. Less Work in the long run!

    Dear Sir,

Thanks for posting informative articles on web and issues being touched upon by you have definite relevance in the professional sphere of HR.

In my view, we actually don’t need some critical analytical softwares for day to day HR functions, it would suffice, even, if one learn the excel. the pack is capable of generating lot kind of reports.

Anyways for big organisations, of course, we can make use of software or technology available.

    Thanks
